Applications are accepted year round and reviewed three times each year in June, October, and February. The Academy is closed from early August to mid- September. 

Application deadlines are as follows:

May 31: mid- September through December
September 30: January through April
January 31: May through July

There is no specific application form for the Visiting Artists and Scholars Program. The Academy requires a cover letter with a brief description of the intended project. The letter should also indicate:

•Space requirements
•Name and number of travelling companions (especially children under 18)
•Any physical disabilities that need to be considered when assigning housing or studio space
•Any other relevant information

The letter of application should be accompanied by a current resume along with slides, a catalogue, cds, jpegs of the applicant’s work. Couples can apply separately but must indicate that they will be sharing a space.

Various type of accommodation are available at the Academy:

- Single rooms with private bath: suitable for only one person.

- Double rooms with private bath: contain a matrimonial bed.

- Study/bedrooms: rooms set up as a study with a sofa bed. There is a sink in the room; the bathroom is across the hall.

- Apartments: one-bedroom, two-bedroom and three-bedroom apartments are available. The apartments have fully equipped kitchens and come furnished with essentials items. Radios, television sets, alarm clocks and blow dryers are not provided.

- Studios in the Academy building measure approximately 400 square feet with 20 foot-high ceilings. Most face north and are filled with natural light. The lighting system is by means of fluorescent lights with two incandescent spotlights. Studios come equipped with essentials such as tables and chairs, drafting tables, easels and a sink. No power tools are available. The walls are outfitted with homosote to make pinning up work easier.

- Studio/suites have a bedroom loft on top of the studio space. The loft has a double bed with private bath and two small skylights. It is separated from the studio by a large glass panel.

- Smaller studios, although limited in number, are available outside the Academy building. These do not have much natural light.

With the exception of the studio/suites, all studios are intended for work purposes only. It is not possible to live in them.

Rates for Academy Lodging and Meals
Rates are calculated on a weekly basis and a two-week minimum stay is required. Check in for the week is late morning on Mondays and check out is on Mondays no later than 9am. Visiting Artists and Scholars may arrive and depart on days other than Mondays but would still be charged the weekly rate from Monday to Monday. Use of linens and all utilities except the telephone is included in the weekly cost. Meals are charged separately.

Please note: Due to fluctuating costs and exchange rates, the Academy reserves the right to change rental prices without notice before the contract is signed.

Rooms
Single room with bath: 500 Euros per week
Double room with bath: 580 Euros per week
Study/Bedroom: (single room without private bath): 365 Euros per week

Apartments
One-bedroom Apartments: 630 to 695 Euros per week
Two-bedroom Apartments: 695 to 840 Euros per week

The cost of apartments varies depending on size and location. Apartments are located either in the McKim, Mead & White Building on Via Angelo Masina 5 or in the Villa Chiaraviglio on Via Angelo Masina 3. On occasion, apartments located on the grounds of the Villa Aurelia are also available for rent. The rates are available upon request.

Studios
Studio/Suite (studio with bedroom loft): 675 Euros per week
Studios for Visual Artists (inside the MMW building): 220 Euros per week
Studios for Visual Artists (in Casa Rustica): 180 Euros per week
Studios with pianos: 140 per week

Meals
Lunch: 14,50 Euros
Dinner: 26,00 Euros
